Privacy Policy

SportsPlanr ("SportsPlanr", "we", "us", or "our"), operated by Blaazin Software, provides sports league and tournament scheduling software (the "Service"). This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. By using the Service you agree to the practices described here.

1. Information We Collect

Account information

When you create an account we collect your name, email address, and the password or federated sign-in identity you use to authenticate. If you sign in with a social provider (Google, Facebook, Apple, or Amazon), we receive basic profile information from that provider (see Section 3).

Organization and scheduling data

When you use the Service to manage a sports organization, you and your organization provide information such as organization details, leagues, divisions, teams, venues, participants, contacts, availability, blackout dates, and generated schedules. You are responsible for the accuracy of this information and for having the authority and consents necessary to provide it (see Section 6).

Payment information

Paid subscriptions and purchases are processed by our payment provider, Stripe. Stripe collects and processes your payment card details directly; SportsPlanr does not receive or store full card numbers. We retain limited billing records such as your plan, transaction history, and billing contact information.

Usage and device data

We automatically collect technical information when you use the Service, including IP address, browser and device type, pages viewed, actions taken, and timestamps. This is used for security, diagnostics, and improving the Service.

Cookies and similar technologies

We use cookies and similar technologies that are necessary to operate the Service — for example, to keep you signed in and to maintain your session. We do not use them to sell your personal information.

On our marketing website we also use Google Analytics to understand how visitors find and use the site so we can improve it. These analytics cookies are optional and are set only if you accept them in our cookie banner; if you decline, no analytics cookies are stored. We do not use this information for advertising.

2. How We Use Your Information

  • To provide, operate, and maintain the Service and your account
  • To generate, store, and display the schedules and organization data you create
  • To authenticate you and secure your account
  • To process payments and manage subscriptions
  • To respond to your requests and provide support
  • To send service-related communications (for example, account, security, and billing notices)
  • To monitor, diagnose, and improve the Service and its performance
  • To detect, prevent, and address fraud, abuse, and security incidents
  • To comply with legal obligations

We do not sell your personal information, and we do not use it for advertising.

3. Social Sign-In and Google Limited Use

SportsPlanr lets you sign in with a third-party social provider. In each case we use the provider's OAuth flow to authenticate you and to receive basic profile information solely to create and manage your SportsPlanr account. We request only the minimum information needed to sign you in, and we do not receive your password for that provider. The information we receive is:

  • Google: name, email address, and profile picture (and phone number when available)
  • Facebook: name and email address
  • Apple: name and email address (Apple may provide a private relay email address instead of your real one, at your choice)
  • Amazon: name and email address

If you choose to sign in with Google, we use Google OAuth to authenticate you and to receive basic profile information (name, email address, and profile picture) solely to create and manage your SportsPlanr account. We request only the minimum scopes needed to sign you in.

SportsPlanr's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide and improve user-facing features of the Service, and we do not transfer or use it for advertising, resale, or any purpose unrelated to signing you in and operating your account.

4. How We Share Information

We share personal information only as described below:

  • Within your organization: data you enter is visible to other authorized members of your organization according to their roles and permissions.
  • Service providers: we use trusted third parties to run the Service, including Amazon Web Services (hosting and infrastructure), Stripe (payment processing), and the social sign-in providers you choose to use (Google, Facebook, Apple, and Amazon). They may process personal information only on our behalf and under obligations consistent with this policy.
  • Legal and safety: we may disclose information if required by law, to enforce our terms, or to protect the rights, property, or safety of SportsPlanr, our users, or the public.
  • Business transfers: if we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

5. Data Retention

We retain personal information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to delete or de-identify it.

6. Children's Privacy

The Service is intended for use by sports organizations and their administrators, not by children. SportsPlanr does not knowingly collect personal information directly from children. Where an organization enters information about minor participants to build schedules, that organization is the controller of that information and is responsible for obtaining any consents required by applicable law, including the Children's Online Privacy Protection Act (COPPA) and comparable regulations. If you believe a child has provided us personal information directly, please contact us so we can remove it.

7. Data Security

We take the security of your information seriously and maintain administrative, technical, and physical safeguards designed to protect it against unauthorized access, use, alteration, and disclosure. These measures include:

  • Encryption in transit: all traffic to and from the Service is encrypted using TLS (HTTPS).
  • Encryption at rest: data stored in our cloud database is encrypted at rest, and stored secrets are encrypted using managed encryption keys.
  • Secure authentication: sign-in is managed by Amazon Cognito with a strong password policy and optional multi-factor authentication (via SMS or an authenticator app). We never store your account password in plain text.
  • Access controls: role-based permissions and least-privilege access limit who can view or change data, both within your organization and within our systems.
  • Trusted infrastructure: the Service runs on established cloud infrastructure (Amazon Web Services) hosted in Canada, with monitoring and logging to help us detect and respond to potential issues.

We restrict access to personal information to personnel who need it to operate the Service, and we review our security practices periodically. However, no method of transmission over the Internet or method of electronic storage is completely secure. While we work hard to protect your personal information, we cannot guarantee its absolute security, and you are responsible for keeping your account credentials confidential.

8. International Users

SportsPlanr is operated from Canada and hosted in Canadian AWS infrastructure. If you access the Service from outside Canada, you understand that your information may be processed in Canada and other countries where our service providers operate, which may have data protection laws different from those in your jurisdiction.

9. Your Rights and Choices

Depending on your location, you may have rights to access, correct, update, or delete your personal information, or to object to or restrict certain processing. You can update much of your account information directly in the Service, and you may contact us to exercise any of these rights or to request account deletion. We will respond consistent with applicable law, including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be communicated through the Service or by other appropriate means. Your continued use of the Service after an update takes effect constitutes acceptance of the revised policy.
